The Hopatcong Hawks Soccer Club Board Elections

HAWKS FAMILIES,

The Hopatcong Hawks Soccer Club Board Elections will be held on Thursday, November 8, 2018 from 6:00-9:00pm in the Lower Level of the Civic Center.

The 1st Vice President and Treasurer positions are up for election, each of which would serve for the standard term of 2 years. Please refer to the email below as to what each position entails. 

We are also looking to fill some coordinator positions such as Concessions Coordinator, Fundraising Coordinator, Travel Administrator, Field Maintenance Assistant (lining fields), etc…  These positions do NOT need to be elected or nominated for and are not board positions, however the club cannot function without them.  If you know anyone or if you’re interested in helping, please contact a board member as we NEED MORE HELP!!!!!

The nominating and voting criteria for the elected positions will be as follows:

  • Nominations for the board positions need to be submitted by midnight 10/24/18 in order to compile a ballot prior to the election.   NO exceptions will be made.
  • The pool of nominated candidates should consist of any club member who has had at least 2 seasons of coaching and/or referee service to the club or any consistent and reliable club volunteer who has put in at least 40 hours/season for at least 2 seasons or have served as a board member (current/past).
  • Each Household is entitled to nominate one individual for each board position.
  • Each household in the club will get 1 vote.
  • You must be 18 years of age to vote.
  • Existing board members and coaches will get 1 vote (you cannot vote as a board member AND then vote as a coach, you must choose to vote as coach or board member)
  • Coaches or Assistant Coaches recognized by the Hopatcong Hawks Soccer Board are the only coaches allowed to vote.
  • Maximum votes per household = 2 (only if the household includes a board member or coach) (i.e coach = 1 vote and then spouse can vote for family = 1 vote)
  • NO ABSENTEE VOTING, MUST BE PRESENT TO VOTE

The 1st Vice President and Treasurer positions are up for election, each of which would serve for the standard term of 2 years. Here is a list of some of the functions the 1st Vice President and Treasurer are in charge of:

 

1st Vice President

The 1st Vice President is the executive officer responsible for ensuring the organization’s interest in field procurement and maintenance. In such capacity, this individual shall be responsible for, but not necessarily limited to:

* Acting as President during his or her absence.

* Appointing Field Maintenance Committee members, supervising their activities and ensuring that the actions of the group are adequate enough to serve the best interests of the organization.

* Implied in the previous item is the responsibility to ensure that an adequate orientation program is in place to train individuals in proper evaluation, correction procedures where feasible and lining of fields within the approved guidelines established by the organization.

* In charge of scheduling in-town games for Fall and Spring seasons.

* Acting as the organization’s representative, together with the President at all meetings of the town’s various field committees.

* Acting as an alternate member of the league representative group when regular members cannot attend scheduled meetings.

Treasurer

The Treasurer is the chief financial officer of this organization. In such capacity, this individual shall be responsible for, but not necessarily limited to:

* Holding custody of all funds, securities, valuable papers and all other assets of this organization.

* Investing excess cash in any financial institution that meet federal or state requirements, or any additional limitations of this organization.

* Signing all expense checks of the organization pending authorization of the Executive Board.

* Ensuring that accurate and complete records of assets and liabilities of this organization are maintained and available to officials as they may require.

* Reviewing with the President and Secretary, all service organization arrangements and contract prior to Executive Board consideration or endorsement.

* Appointing Fund Raising Committee members, supervising their activities and ensuring that their actions are adequate enough to serve the best interest of the organization.

* Serve as Chairman of the Finance Committee, and supervise its activities.

* Acting as a representative of the organization at all league and state level activities, together with the President and Secretary.

Nominations should be sent directly to Teresa Smith AND Kim Perry via email ONLY by midnight, Wed. 10/24/18. They will reach out to the nominees and also ensure that they meet the requirements to run for a board position.

Any questions regarding the nomination process should be sent directly to Teresa and Kim.  Please DO NOT reply to this email with any nominations, they will not count.
